Job Title: Receptionist

Position Overview:

We are seeking a friendly, organized, and professional Receptionist to serve as the first point of contact for our organization. The Receptionist will manage front desk operations, handle administrative tasks, and provide exceptional customer service to clients, visitors, and staff. This role requires strong communication skills, a welcoming attitude, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

    1.    Front Desk Management:

    •    Greet and welcome visitors in a warm and professional manner.

    •    Answer and direct phone calls to appropriate departments or personnel.

    •    Maintain a clean and organized reception area.

    2.    Administrative Support:

    •    Schedule and manage appointments, meetings, or conference room bookings.

    •    Handle incoming and outgoing mail, packages, and deliveries.

    •    Assist with data entry, filing, and other clerical duties as needed.

    3.    Customer Service:

    •    Address inquiries and provide accurate information about the company’s services or policies.

    •    Resolve or escalate customer issues in a timely manner.

    4.    Coordination and Communication:

    •    Liaise with internal teams to ensure smooth daily operations.

    •    Maintain and update contact lists and office directories.

    5.    Technology Use:

    •    Operate office equipment, such as printers, copiers, and phone systems.

    •    Utilize software to manage appointments, track visitor logs, and perform administrative tasks.

Qualifications:

    •    High school diploma or equivalent; additional certification in office administration is a plus.

    •    Proven experience as a receptionist, front desk representative, or similar role.

    •    Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with phone systems.

    •    Excellent verbal and written communication skills.

    •    Strong organizational skills with the ability to multitask and prioritize tasks effectively.

    •    Friendly and professional demeanor with a focus on customer service.

Physical Requirements:

    •    Ability to sit for extended periods and perform repetitive tasks.

    •    Occasionally lift or carry items weighing up to 20 lbs.
